Job Summary

Jhpiego is an international, non-profit health organization affiliated with The Johns Hopkins University. For 40 years and in over 155 countries, Jhpiego has worked to prevent the needless deaths of women and their families.

We are looking for a Finance and Procurement Assistant who will be responsible for transactional processing and reporting of finance and procurement transactions. He/She will assist with recording and reporting financial information.

Responsibilities:

  • Assist in the implementation of financial policies and procedures in the office
  • Be familiar with the related South Africa laws and regulations; and assist in their application
  • Processing of invoices from suppliers, ensuring that invoices are authorized in accordance with the Delegation of Authority policy and coded to the correct ION
  • Processing payments to suppliers and staff expense claims, and answering queries from them
  • Ensure all income from all sources is correctly receipted, recorded, and allocated to source and intended use; with similar allocation of relevant expenditure
  • Prepare payment vouchers and ensure review and approval
  • Ensure that the petty cash replenishment is prepared the moment the disbursement is 75% of the cash float
  • Assisting with the management of stationery inventory – receiving, issuing and reconciling
  • Providing assistance in the preparation for the annual audit accounts
  • Ensuring that all personnel adhere to agreed organisational financial policies &procedures at all time
  • Take minutes/notes in meetings as required, and circulate associated information.
  • Assist with maintenance of contracts, agreements, registers and schedules.
  • Ensure goods are delivered in the proper quality, in timely manner, and with the proper packaging.
  • Confirm with requestors that goods have been received and services delivered.
  • Track all procurement activity and deadlines, ensuring any procurement planning is kept on time.
  • Enter approved procurement request into the procurement management tracker.
  • Assist with scheduling and facilitating evaluation of tenders.
  • Preparing Purchase Orders for Procurement Manager review.
  • Carry out other procurement and contracting functions as required.
  • Assume other duties as assigned

Qualifications:

  • Knowledge in the use of financial software applications, databases, spreadsheets, and/or word processing required
  • Higher Certificate or Diploma in Accounting or related field
  • 2 years’ experience in finance field
  • 1 year Procurement Experience
  • Knowledge of US government cost principles
  • Prior experience with QuickBooks preferred
  • Experience in global organizations preferred
  • Organisational skills
  • Proficiency in Microsoft Office software applications
  • Strong interpersonal, writing, and oral communication and presentation skills
  • Ability to treat payroll, accounting and budget information with confidentiality
  • Ability to multitask, manage competing priorities and prioritize in order to meet program and/or organizational objectives
  • Flexible and willing to support others at times when particular organisational priorities take precedence
  • Flexibility to change and create for continuous improvement and to contribute towards a culture of innovation along with knowledge impact
  • Ability to collaborate and form effective partnerships with internal and external stakeholders
